This policy explains what we collect in the RISE RSVP app, why we need it, who can see it, and how long we keep it.

Who we are
RISE Adventures, Inc. (RISE Adaptive Sports) is a 501(c)(3) nonprofit based in Southlake, Texas. This Privacy Policy applies to the RISE RSVP web app at rsvp.riseadaptivesports.org and related program registration tools.

Information we collect
When you use the app, we may collect:
- Account sign-in: mobile phone number and one-time verification codes sent by SMS.
- Profile: name, date of birth, photo, household members, emergency contacts, and optional notes you choose to share (for example accessibility or medical context for safe program setup).
- Program activity: RSVPs, check-ins, volunteer shift sign-ups, waivers you sign in the app, and messages you send through RISE messaging features.
- Staff and partner access: role assignments for coordinators, partner organization reps, and related permissions.
- Device and usage: push notification tokens if you opt in, basic page analytics to improve the app, and technical logs needed to keep the service secure and reliable.
- Marketing attribution: UTM campaign parameters when you arrive from a link, stored locally so we can understand how people find RISE.
How we use information
We use your information to:
- Run free adaptive sports programs — registration, rosters, day-of check-in, and safety planning.
- Send reminders and schedule updates you ask for (email where provided and push notifications when enabled).
- Help staff coordinate volunteers, equipment, and accessible setups.
- Meet legal, insurance, and reporting obligations for a nonprofit recreation program.
- Protect the app against fraud, abuse, and unauthorized access.
Who can see your information
You can view and update your own profile and household in Account.
RISE staff with coordinator access or higher can look up participant and volunteer records to run programs. Contact details are masked by default in the People tools; staff must deliberately reveal full email or phone when needed for coordination.
Partner organization reps see only information tied to their assigned organization and shared volunteer or participant flows — not the full RISE directory.
We do not sell your personal information. We do not use your data for third-party advertising.
Service providers
We use trusted infrastructure providers to operate the app. Data is processed in the United States unless a provider documents otherwise in their own terms:
Google Firebase (authentication, database, file storage, cloud functions, and optional analytics), SMS delivery through our authentication provider, and email or notification services configured by RISE.
These providers process data on our behalf only to deliver the app. We require appropriate security and confidentiality for nonprofit program operations.
Retention and deletion
Program and registration records needed for safety, reporting, and audit may be kept for up to seven years after certain records are marked deleted in our systems, consistent with RISE retention policy.
When staff remove a user account, we delete the account and associated profile data from our active systems. Some historical RSVP or check-in records may remain in anonymized or program-level logs required for reporting.
You may request correction of inaccurate profile information through Account or by contacting us.
Children and families
Programs serve participants of all ages. A parent or guardian creates and manages household accounts for minors. We collect only what is needed to register, waivers, and run programs safely.
If you believe we collected a child's information without appropriate guardian consent, contact us and we will review promptly.
Security
We use industry-standard protections including encrypted connections (HTTPS), role-based access for staff tools, and server-side rules that limit who can read or change data.
No online system is perfectly secure. Please use a phone number you control and sign out on shared devices.
Changes
We may update this policy when the app or legal requirements change. We will post the new date at the top of this page. Continued use of the app after an update means you accept the revised policy.
